Stop Re-Typing Everything: What Small Businesses Should Automate First
A practical guide to spotting repetitive data entry and choosing safe, simple workflows to automate before buying more software.
If information arrives in one app and somebody repeatedly types the same information into another, you have found a potential automation.
That does not mean every task should be automated. The best first automations are boring, repetitive and easy to check.
Good first candidates
- A website enquiry copied into a CRM.
- A new customer added to an email list after opting in.
- A completed sale creating an internal task.
- A form submission copied into a spreadsheet or database.
- A status change triggering a reminder or notification.
Use a simple test before automating
Ask four questions: Does this happen often? Are the steps basically the same each time? Is the input structured enough for software to understand? Can a mistake be detected and corrected?
If the answer to those is yes, it is a stronger candidate than a task requiring judgement, negotiation or unusual exceptions.
Do not automate a broken process
If nobody agrees where customer information belongs, connecting five systems together will not fix that. Decide which application is the source of truth first. Then automate movement around it.
Start with one workflow
Pick a small process you can explain in one sentence: “When X happens, create Y.” Run it, check the results and only then add complexity. This makes failures easier to diagnose and prevents an automation project becoming another piece of admin.
Zapier, Make or something else?
No-code automation platforms are useful when the apps you already use need to exchange information. The best choice depends heavily on the integrations, workflow complexity and pricing that apply to your actual process.
